Materials Management

Working behind the scenes to keep our hospitals running smoothly is the Materials Management team, ensuring wards and departments always have the supplies they need, when they need them.

Across both Huddersfield Royal Infirmary (HRI) and Calderdale Royal Hospital (CRH), the team plays a vital role in ordering, replenishing, and distributing essential items from dressings and needles to everyday consumables that support patient care. On a daily basis within HRI, the team checks stock levels, places orders, unpacks deliveries, rotates stock, and keeps storage areas organised. While they aim to maintain around nine days’ worth of stock, most items arrive within 48 hours, meaning careful planning and coordination are essential.

Although they don’t work directly with patients, the impact of their role is felt across every ward and department. Every item supplied from critical equipment to small comforts like toothbrushes or tea bags contributes to patient safety, dignity and wellbeing. The team supports a wide range of services including wards, outpatients, Emergency Departments, theatres, and community services. In specialist areas, they also manage inventory systems that track high-value items such as surgical implants, helping to ensure accuracy, traceability and patient safety.

While the overall purpose of the service is the same, the way Materials Management operates differs slightly across the two sites.

At HRI, the focus is largely on ward-based stock management. Team members are responsible for specific departments, building strong relationships with clinical teams and developing a detailed understanding of their needs. They work closely with nurses, ward managers, doctors, housekeepers, porters and procurement teams, ensuring supplies are always available and responding quickly to any issues. Strong communication is essential, particularly when sourcing alternative products or dealing with shortages or product recalls.

Across both sites, alongside ward support, there is a strong emphasis on Receipt and Distribution, which plays a central role in the flow of goods across the hospital. The team manages high volumes of deliveries daily, receiving items from NHS Supply Chain and couriers such as UPS, FedEx and DPD. These deliveries can range from small parcels to large drops of up to 90 items at a time, arriving steadily throughout the day.

Each delivery must be checked, processed and directed to the correct location, often within tight timeframes. Where information is missing or unclear, the team investigates by contacting suppliers or departments to ensure items reach the right place. They also coordinate larger deliveries such as furniture and equipment, working closely with porters and transport teams. With a constant flow of goods and unexpected challenges, no two days are the same, and strong organisation, problem-solving and communication skills are key.

Across both sites, Materials Management also supports specialist areas such as theatres, where the role becomes even more complex. In these environments, the team manages advanced inventory systems, including the rollout of SupplyX, which is used to track high-value items such as orthopaedic implants and surgical equipment. This has been a significant project, involving the scanning and management of thousands of items to improve efficiency and patient safety.

Theatres operate at a fast pace, supporting everything from emergency trauma procedures to planned surgeries such as orthopaedics, plastics, and maternity care. The Materials Management team must ensure both everyday consumables and highly specialised items are available and accurately tracked at all times.

One of the most complex elements of this role is managing loan kits which is only used at CRH this is specialist equipment brought in for specific procedures. These come with significant costs for delivery, use, sterilisation and collection. To reduce this, the team works closely with procurement and clinical teams to hold frequently used items on site where possible, although this can be challenging due to limited storage space.

Across Calderdale and Huddersfield, the team is relatively small but covers a large number of areas, including Emergency Departments, intensive care, maternity, endoscopy, paediatrics and resuscitation services. Each member develops expertise in their allocated areas, while also supporting colleagues when needed. Teamwork is essential, with staff regularly helping each other and sharing knowledge.

As with many NHS services, the team faces challenges such as staffing pressures, particularly during busy periods like annual leave or winter demand. At times, only a small number of staff may be covering large parts of the hospital. In addition, limited storage space and ongoing supply chain challenges require constant adaptability and forward planning.

There are also common misconceptions about the role. Materials Management is not a large warehouse holding unlimited stock most items are ordered as needed, and the team relies on efficient systems and frequent deliveries. They are also separate from Procurement (‘Buying’), although they work closely together.

Despite these challenges, the team prides itself on being supportive, approachable and resilient. With a strong sense of camaraderie and a shared commitment to patient care, they work together to overcome challenges and keep services running.

Materials Management is a small team with a big impact. Their work reaches every corner of the hospital, and while much of it happens behind the scenes, their contribution is essential in supporting safe, effective and compassionate care every single day.
